ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

-Perform general office duties including copying, word processing, creating databases, management of telephone calls, taking and delivering messages, filing, and other office management activities,

 -Greet and respond to inquiries in a cordial, professional and friendly manner,

 -Manage records for various financial information including special grants and specific budget allocation lines,

 -Manage and prepare reimbursements for special grants,

 -Prepare purchase orders and requisitions according to adopted policy,

 -Monthly billing for physical therapy, occupational therapy, speech services, nursing, transportation, evaluations (psychological, OT, PT, and speech)

 -Track Medicaid eligible students throughout the evaluation process to determine if services are billable,

 -Reconcile monthly remittance with services billed and received for all students,

 -Organize and monitor Random Time Study Moments to be completed by staff and provide training to staff required to participate,

 -Verify students receiving Medicaid benefits with report provided by Virginia Department of Education,

 -Update class rosters for physical therapy, occupational therapy, and speech pathologists to notify providers of students who have become eligible for Medicaid benefits or those who are no longer eligible to services according to the quarterly eligibility matching.

 -Track required licenses for Medicaid billing (OT, PT, Speech, Nurses, and School Psychologists),

 -Review all Plans of Care to verify they meet DMAS/VDOE requirements.

 -Review all progress notes for accurate billing,

 -Track students who are no longer eligible for Medicaid benefits to verify discharge summaries are submitted with proper documentation,

 -Provide Medicaid training to all special education teachers annually,

 -Assist with various reports provided to Virginia Department of Education,

 -Other duties as assigned by the supervisor.

 

Experience with special education preferred, not required.
